Job Title – PA to Managing Director, London (and Front Office Administrator)

We are working on behalf of an award-winning, full service public relations agency with a singular focus on the healthcare sector.
They operate from offices in San Francisco, New York, Chicago and Washington DC.
As part of the company’s success and accompanying growth, they have now set up a new office based in London.

The Personal Assistant/Front Office Administrator will be the face and voice of the company and will be responsible for providing superior customer service to the clients, the executives, and the associates in the London office.

This position reports to the Managing Director (UK) and consults regularly with US-based needs.

Responsibilities
• Organises and maintains executives’ diaries and makes appointments; handles executive calls as requested
• Arranges executives’ domestic and foreign travel and completes associated expense reports
• Supports visiting executives as needed
• Ensures executives’ are prepared for meetings; produces documents, prepares presentations as needed
• Arranges candidate travel, interview schedules, and correspondence; consults with US-based HR staff
• Coordinates accounting and financial reports under direction of MD and/or accountant
• Plans and implements in-house meetings and events as requested
• Covers phone and greets visitors
• Manages incoming and outgoing mail and faxes, as well as express deliveries and distribution
• Maintains equipment and supplies, arranges for service, orders supplies; consults with US-based IT staff
• Coordinates with building service staff for maintenance needs, cleaning, etc.
• Ensures storage and conference rooms are stocked, clean and orderly before and after meetings
• Updates and maintains office phone lists
• Ensures offices are stocked, clean and orderly
• Supports special projects as needed

Education and Experience
• Minimum five years administrative support experience
• Healthcare agency experience required
• Degree in business administration or management a plus

Knowledge, Skills and Abilities
• Demonstrates a courteous, positive and helpful demeanor to all
• Organised with a strong attention to detail
• Able to handle multiple tasks and projects and meet deadlines
• Strong oral and written communication skills
• Demonstrates initiative and problem-solving skills
• Able to work independently
• Exercises diplomacy and discretion at all times
• Able to handle sometimes stressful situations and difficult visitors calmly and professionally
• Proficiency with Microsoft Word, Excel and PowerPoint as well as online resources

It is vital that candidates for this role are adept within the ambiguous, sometimes chaotic, and fast-paced environment of what will be, in UK terms, a “start-up”.
